Getting Field Buy-In with Autodesk Forma

Getting Field Buy-In with Autodesk Forma

Autodesk Forma (formerly Autodesk Construction Cloud) is a powerful construction management platform that offers a wide range of tools to streamline documentation, communication, and cost control. Many General Contractors invest heavily in the platform, configure the project correctly, and train the office staff, yet adoption in the field can still stall.

Superintendents and foremen are busy. They are solving problems in real time. If the software feels like extra work, it will not get used.

Here are four practical ways to drive field adoption and get real return on your investment.

1. Keep the Field Workflow Focused

One of the biggest mistakes during implementation is turning on every feature at once. The field does not need everything. They need what impacts them daily.

If you are using Forma Build, start with:

  • Drawings with the latest set access
  • RFIs
  • Issues
  • Photos
  • Daily Logs if required by your company

For example, a Superintendent should be able to open the mobile app, immediately see the current drawings, create an Issue tied to a location, attach photos, and move on. They should not have to navigate through accounting tools or cost management modules that do not apply to them.

Adoption increases when simplicity increases.

2. Lead With Protection, Not Technology

Field teams do not care about digital transformation. They care about protecting their scope, schedule, and reputation.

Show them practical benefits:

  • Photos tied to Issues protect them during back charge disputes
  • RFIs documented in the system eliminate verbal confusion
  • Version controlled drawings prevent building from an outdated set

For instance, if a trade claims they built per plan, but the wrong revision was used, having drawings managed through Forma Data Management provides a clear audit trail. That audit trail protects both the GC and the subcontractor.

When the field understands the system defends them, resistance drops significantly.

3. Train on the Jobsite, Not Just the Conference Room

Formal training sessions are important, but field adoption improves when training happens in real conditions.

Instead of only presenting slides:

  • Walk the site and create a live Issue
  • Take photos in the field and upload them immediately
  • Pull up a drawing in direct sunlight and show how quickly it loads
  • Demonstrate how to filter RFIs by status

When Superintendents see how the Autodesk Forma mobile experience works in real time, it becomes practical, not theoretical.

4. Define Expectations Early

Software becomes optional when expectations are unclear.

At project kickoff, establish standards such as:

  • All RFIs must be submitted through Forma
  • Only drawings published in Forma are considered current
  • Jobsite photos related to disputes must be logged the same day
  • Issues will be tracked and closed within the platform

When these expectations are written into subcontract agreements and reinforced by the PM team, compliance becomes part of the workflow, not an afterthought. Consistency across trades is critical. If one subcontractor is allowed to operate via email, others will follow.

Summary

Successful adoption does not happen automatically. It requires a clear rollout plan, role-based training, and accountability. ZenTek works with contractors to provide practical training for General Contractors, Superintendents, Project Engineers, and Subcontractors, along with kickoff frameworks and configuration reviews to ensure your Autodesk Forma setup supports your real-world workflows. The focus is on building simple, repeatable processes that match how your teams operate in the field.

Adoption should also be measured. Usage reporting such as RFI activity, Issue tracking, drawing access, subcontractor participation, and workflow compliance gives leadership visibility across projects. When you can see who is using the system properly and who is reverting to email, adoption becomes manageable. Consistent use leads to better documentation, clear drawing version control, organized issues.
