How Project Managers Can Get the Most Out of Procore Dashboards

For Project Managers, dashboards inside Procore should be more than a landing page. They should function as a real-time control center for your project. When configured intentionally, they provide immediate visibility into financial exposure, operational bottlenecks, and documentation risk.

A properly designed dashboard reduces the need to click through multiple tools just to understand where problems are developing. If you cannot assess the health of your project in 30 seconds, your dashboard likely needs refinement.

1. Focus on High-Impact KPIs

Your dashboard should immediately answer three questions:

  • Are we financially exposed?
  • Are we operationally behind?
  • Is documentation becoming a risk?

To accomplish this, prioritize widgets such as:

  • Open and aging RFIs
  • Overdue submittals
  • Pending change orders
  • Budget versus forecast
  • Open observations or punch items

These items directly impact schedule, cost, and risk. Avoid cluttering your dashboard with low-impact metrics that do not influence decision-making. If a widget does not help you take action or identify risk, it does not belong on a PM dashboard.

2. Configure Widgets for Action

Most PMs leave widgets in their default state. That is where value is lost. A default dashboard typically shows totals, but totals do not highlight urgency.

Refine your filters so the dashboard surfaces issues that require attention:

  • Assigned to Me
  • Overdue
  • Specific responsible contractors
  • Defined date ranges

Instead of showing all RFIs, configure the widget to show RFIs over 7 days old. Instead of all submittals, focus on those past due or nearing deadlines. When configured correctly, your dashboard becomes a daily action list rather than a passive reporting screen.

3. Align With Your Weekly Workflow

Your dashboard should reflect how you actually manage the job throughout the week. It should support your rhythm, not create additional work.

For example:

  • Early week: Clear aging RFIs and submittals to prevent schedule impact
  • Midweek: Monitor budget movement, change events, and cost exposure
  • End of week: Close observations and documentation gaps before reporting cycles

When your dashboard mirrors your workflow, you reduce time spent searching for information. You also create consistency in how you manage each project, which improves overall performance.

4. Monitor Financial Health Continuously

Strong PMs do not wait for month-end reporting to understand financial position. Real-time visibility allows you to address cost exposure before it becomes a problem.

Use dashboard widgets to track:

  • Approved versus pending change orders
  • Budget adjustments
  • Forecasted cost at completion
  • Variance trends

Watching these indicators consistently allows you to detect margin erosion early. Financial control is not about reacting to reports. It is about identifying trends before they impact profitability.

5. Keep It Clean and Reassess at Milestones

A dashboard should be clean, organized, and easy to scan. Limit it to high-impact widgets. Group financial items together and operational action items together so your eye naturally moves through the most important data.

Reevaluate your dashboard at major project milestones:

  • Structural completion
  • 50% Complete
  • Turnover

As the project evolves, risk shifts from procurement and coordination to quality control and closeout. Your dashboard should evolve accordingly to reflect the current phase of the project.
