Using Custom Documents in Autodesk Construction Cloud Cost Management

Using Custom Documents in Autodesk Construction Cloud Cost Management

AIA G702 payment form

In Autodesk Construction Cloud, Cost Management is where teams track budgets, contracts, change orders, and pay applications. One feature that often gets overlooked is Custom Documents. While the name sounds technical, the idea is simple: custom documents let you use the forms your company already relies on all while being directly inside Cost Management module.

Instead of managing important paperwork outside the system in Excel, Word Docs, or PDFs, custom documents keep everything tied to the same cost data your project team is already using.

Bringing Familiar Forms Into Your Workflow

Many contractors and owners rely on standard payment forms like AIA G702 and AIA G703. Custom documents allow these types of forms to exist alongside budgets and pay applications in Cost Management, rather than being handled separately.

Not every project is the same, though. Some owners require special billing formats, additional summary pages, or custom backup. Custom documents make it possible to support these differences without creating one-off spreadsheets for every job.

Supporting Owner Contracts and Subcontracts

Custom documents are also extremely useful when working with contracts. For Owner Contracts, teams often need clear, professional documents that summarize contract values, approved changes, retainage, previous billings, and current amounts due. Custom documents help present this information in a format owners expect, while still pulling from accurate Cost Management data.

For Subcontracts, custom documents can support subcontractor pay applications, cost breakdowns, and internal approval summaries. This allows project managers and accounting teams to review subcontractor costs consistently before payment, without jumping between systems. Having both owner-facing and subcontractor-facing documents tied to the same cost data helps reduce discrepancies and keeps the full contract picture aligned.

Fewer Spreadsheets and Word Documents Means Fewer Mistakes

When cost documents live outside of Cost Management, teams often must retype numbers or double-check totals. This is where mistakes creep in. Custom documents help reduce this risk by keeping documentation connected to the same cost information already approved in the system.

This means fewer last-minute corrections, fewer questions during reviews, and less back-and-forth between project teams and accounting.

Helpful for Both Owners and Internal Teams

Custom documents are not just for owners. Many companies use them internally for reviews and approvals before anything is sent out. For example, a project manager might need to submit a cost summary for internal signoff, even if the owner never sees it.

By keeping these documents in Cost Management, teams can see the full financial picture in one place—what was approved, what was billed before, and what is being requested now.

A More Consistent Way to Manage Costs

As companies grow and take on more projects, consistency becomes harder to maintain. Custom documents help standardize how cost information is presented across jobs, while still allowing flexibility when a project requires something different.

This creates a smoother experience for project managers, accounting teams, and leadership, especially when multiple people are involved in reviewing costs.

How ZenTek Consultants Can Help

At ZenTek Consultants, we help construction teams set up custom documents in Cost Management that actually match how they work. The focus is not just on creating forms, but on making sure those documents fit naturally into your cost workflows.

Whether you need owner-specific payment forms, internal review documents, or standardized cost summaries, custom documents can make Cost Management easier to use and more reliable.

Custom documents do not need to be complicated. When used correctly, they simply help your team spend less time managing paperwork and more time understanding and controlling project costs.
