Bluebeam Sets: Organizing Your Project Files the Smart Way

When you’re working on a construction project, keeping track of drawings, revisions, and project documents can get overwhelming. One sheet is here, the revision is there, and before you know it, you’re digging through folders trying to figure out which version is the right one. That’s where Bluebeam Sets come into play.

What Is the Bluebeam Sets Tool?

The Bluebeam Sets Tool Sets tool in Bluebeam Revu is designed to help you organize and manage a collection of related documents without having to physically combine them into one file. Think of it as a smart binder. You can keep all your drawings, specs, RFIs, and revisions linked together, even if they’re stored in different locations.

What makes Sets different from just creating one giant PDF? The key is that Sets can track revisions and let you navigate easily across multiple documents as though they were one. It’s a way to work faster and with less confusion. You can access  Sets by looking at your panels or pressing ALT + 2 on your keyboard.

How Can You Use Bluebeam Sets?

Here are a few common ways you can put Bluebeam Sets to work:

  • Drawing Management
    Import all your project drawings into a Set. When you have a new revision, you can update your set with these drawings and Bluebeam will replace them. You also still have access to the old version(s) as well.Bluebeam Sets - Drawing Management
  • Easy Navigation
    Instead of clicking through 40 separate PDF files, a Set lets you click through drawings in order just like flipping pages in a single massive PDF. Windows Explorer and even Bluebeam Studio typically sort the drawings by Alphabetical or by Date; however with Sets you can set a manual order of drawings.

  • Cross-Referencing
    Combine this with using Places to link to details, enlarged floor plans, and more and you can save hours over the lifetime of Project.
  • Project Updates
    Sets don’t require you to republish files every time a revision comes out. Just add the new PDF, and the Set update’s itself.

    Best Practices for Working with Bluebeam Sets

    • Keep a Consistent Naming Convention
      Bluebeam uses file names and page labels to figure out drawing numbers and revisions. If your files are consistently named (e.g., S-101 Rev 2), Bluebeam can do the heavy lifting for you.
    • Use Relative Paths
      Store your files in a consistent location, like a shared project folder or SharePoint. Using relative paths means if someone else opens the Set on their computer, Bluebeam can still find the files. You can read this blog to learn more about relative pathing and why it’s important in Bluebeam
    • Check Your Revision Settings
      Make sure you set up your revision numbering correctly so Bluebeam knows which is the latest. This avoids confusion about whether you’re looking at Rev 1 or Rev 3.
    • Leverage Categories
      Break your Set into categories (Architectural, Structural, Civil, etc.) so you can filter down quickly when you’re looking for a specific trade’s sheets. You can even create
    • Train the Team
      A Set is only as useful as the people using it. Walk your project team through how to open the Set, navigate, and verify they’re looking at the latest drawings.
