Part 2: Studio Sessions: Real-Time Collaborative Review

Studio Sessions are where Bluebeam’s collaborative power becomes obvious. Rather than exchanging PDF files by email and manually reconciling markups, a Studio Session lets multiple reviewers mark up the same drawings simultaneously, seeing each other’s comments appear in real-time, from wherever they happen to be working. Most importantly, a Session can be started on day one of project kickoff and left open for the duration of a job. This gives you a central, trackable, and easy-to-use communications and decision hub for your entire project.

Let’s start with setting up a Studio Session properly. Before inviting participants, decide on permission. Who can add markups, who can only view, who can delete or modify others’ comments? For example, on a formal design review with external consultants, you may want to restrict delete permissions, so nobody’s markup history gets accidentally cleaned up before the session closes. These settings are configured at session creation, not after the fact.

Attendance tracking in Studio Sessions gives you a record of who participated in a review, which matters for documentation purposes. Reviewer participation carries real weight on a construction job, confirming that a consultant, owner, etc. actually reviewed and commented on a specific drawing. Having a system-generated attendance log is considerably more defensible than an email thread where someone claims to have looked at the drawings. Or worse claims they never got your email! Being able to point out who approved, modified, or agreed to something months after the fact can be a legal and billing life saver.

Managing a live session means more than just opening it and walking away. For formal reviews, brief participants on the tool conventions from Part 1 of this series before the session starts. Confirm everyone agrees to work off only the current Session drawings, and set a clear expectation for how to acknowledge and respond to comments. A Studio Session where half the team is marking up one sheet and the other half is on a different page doesn’t coordinate any better than an email exchange.

Session edits are reportable and that makes a Studio Session into a permanent project record. Export the markups list at session close, or on a scheduled basis as needed. Include status, author, timestamp, and the text of every comment, and you’ve got a structured searchable and filterable record of the entire job  that can be attached to the project record or fed into a tracking log without anyone manually transcribing comment text.
