Design Review Workflows in Bluebeam Revu – Part 3: Comparing Drawing Revisions

Design Review Workflows in Bluebeam Revu – Part 3: Comparing Drawing Revisions

Setting Up for Design Review in Bluebeam Revu

A set of drawings. Six disciplines. One review cycle buried in email attachments nobody can find. If that sounds like your project, you’re not alone. And it doesn’t have to stay that way! This ZenTek Consultants blog series walks you through how to fix it.

Missed Part 2? Read it here.

Part 3: Comparing Drawing Revisions

Every drawing set goes through revisions, and every revision creates the same fundamental question: what actually changed? Trying to answer that by eyeballing two versions of a complex drawing side by side is unreliable, slow, and exactly the kind of error-prone task that costs you time and money. Manually checking can lead to missed scope changes, coordination problems, or design changes that nobody read closely enough. Luckily, Bluebeam has some great tools for handling all those problems: Overlay Pages and Document Compare.

Bluebeam’s Overlay Pages tool places two versions of the same sheet on top of each other with different colors, making changes immediately visible as color contrast rather than requiring a page-by-page visual review. Set your base drawing to one color and the new revision to another, and anything that moved or changed shows up as a visible contrast. That’s a reliable first-pass review in just seconds rather than minutes per sheet. Look at the example below and you can see that the green and red overlays blend to brown and that the areas visible in bright red are from the original file only so, at just a glance, you know those lines were removed in the revision.

Bluebeam - Overlays

One important note: calibrating both sheets to the same scale before overlaying matters more than it sounds like it should. A comparison where both sheets aren’t at the same scale and registration point produces “false positives”. Those are apparent “changes” that are really just misalignment between the two sheets. Take the extra thirty seconds to confirm registration before starting a comparison, or your overlay won’t be reliable. You can do this with the highlighted “Page Align” drop down, where you can let Revu try to align automatically, or you can manually adjust the scale/reference if you know there’s a variance.

The Compare Documents function goes a step further, generating a cloud markup that highlights differences directly on the drawing, rather than requiring you to visually interpret the color contrast. This is particularly useful for sharing with other team members, so they see the flagged changes without having to run a separate comparison themselves. The Bluebeam Document Compare tool lets you select two files (say an original and a revised version) and compares different scales, etc. just like Overlay does. Using the same file from our previous example, you can see (below) that Bluebeam generates a new file with a “_DIFF” suffix that puts revision bubbles on the missing lines:

Bluebeam - Compare Documents

Documenting what you find during a comparison should connect directly back to your markup workflow. When a comparison reveals a coordination-relevant change, like a structural element that shifted or an opening that was removed, that finding should become a real markup with a status and an owner, not just a visual observation that gets discussed in a meeting and not formally tracked anywhere.

Manual comparison tools do this job well and have for years, but in Part 4 of this series, we’ll look at what Smart Overlay in Bluebeam MAX adds to this process for teams doing high-volume, multi-discipline revision reviews. Don’t miss the next installment of our “Design Review Workflows in Bluebeam Revu” series!
