Have you ever wanted to manage and track a piece of information within Procore but it wasn’t available? This is exactly where you can use custom fields. Custom fields allow you to add customized drop downs, text boxes, dates, and more to various tools that your employees and subcontractors can use to enter information. From there, you can use these custom fields for Procore reports or to ensure meaningful information is being entered.
Prior to creating a Custom field, you must be an Admin of Procore within your company. Also, click this link to see which tools within Procore support custom fields and the limitations within them.
To create a Custom Field, navigate to your Company’s Admin page and go to the tool you to which you want to add a custom field. For this example, I’ll be using the Daily Log tool.
- We need to create a custom Configurable field set. You can edit an existing Field Set or create a new one, the processes are the same.
- Scroll to the bottom of the page until you see “Add Custom Field”. Click on it to see your choices of Create New or Choose from Existing. We will be creating a new one so select Create New.
- Give our Custom Field a name and a Field Type. Each of the Field Types do something different, so feel free to experiment to see which works best for your company. Alternatively, you can reach out to ZenTek Consultants to learn more about our Procore support services.
- Select which Field Type works best and then Create.
- You should now see your custom field.
From here you can do the following:
- Clicking on the 6 dots allows you to move the order of the Field. Unfortunately, you cannot move it between the default Procore fields.
- You can enable or disable the Field by clicking the toggle.
- You can check the “Required” checkbox to make sure this field is required. This means that this field MUST be completed before the process, or in my case the Daily Log, can be submitted for Final Approval.
- The 3 dots on the left side allow you to View or Remove the Custom Field. You cannot edit it.
Now that you have your Custom Field Set, you can ensure that the information your company needs is present and ensure that it is being filled out each time. As I mentioned, you can link these Custom Fields to have custom reports based upon them. For my example above, maybe I wanted to see what companies are significantly late to the jobsite every day and leave early – despite being behind in the schedule. Prior to creating a Custom Field, there was no way to track this within Procore, but now I can within the Daily Log.
For any reports you want to generate, the following allow you to filter by Custom field are as follows:
Financial
- Change Event
- Commitments
- Commitment Change Orders
- Commitment Potential Change Orders
- Prime Contract
- Prime Contract Change Orders
- Prime Contract Potential Change Orders
- Project
- Subcontractor Invoice
Project Execution
- Project
- RFI
