In the fast-paced world of construction, efficient documentation management is crucial for project success. Procore’s Forms tool offers a comprehensive solution for general contractors, enabling them to streamline their documentation processes and enhance collaboration. This week we’re diving into the Forms tool – creating forms and effectively using them to streamline existing processes.
You may ask yourself “What is a fillable form?” and chances are you’ve already have worked them or filled one out. A fillable form is typically a PDF document that allows users to easily type in pre-defined text fields, select various dropdowns, automatically adds the current date, and much more. This will ensure when your company receives a completed form, all the relevant information is filled out, it’s formatted properly, and is all done virtually – so no more messy handwriting & missing information when someone sends in an RFI or other document to you.
One prerequisite of using the Forms tool is that you must create a fillable PDF form before adding it to Procore. You can create these types of documents in Bluebeam, Adobe Acrobat, and a few other programs.
Once you have your fillable form created in another program, you can upload it to Procore by heading to the Company Tools Admin page and clicking on Forms underneath Tool Settings. From here, click on New Form Template. Upload your fillable PDF, add a name for it, and write a description for that form.
Once you have it uploaded into Procore, go over to any of your existing projects and you can find Forms underneath the Project Management set of Procore tools. By clicking Fill Out Form, you can select one of the forms that have been uploaded. Simply select one of the forms and begin to fill it out.
Any field that is highlighted in blue can be filled out. Alternatively, users can also add additional documentation to the form, such as photos, additional information, and more.
Forms are also available on the mobile version of Procore, making it extremely easy for all your subcontractors and employees to fill them out.
